Asset Management for HR — Stop Losing Laptops at Exit

Walk through any Pakistani SMB and ask "where is the laptop that was issued to [name of someone who left 6 months ago]?" The answer is usually a shrug. Asset loss at exit is one of the biggest unmeasured costs of poor HR processes — typically 5-15% of issued assets simply disappear over a year. Here is the asset management workflow that stops it.

What HR-managed assets typically include

  • IT assets — laptops, desktops, monitors, keyboards, mice, headsets, phones, SIM cards

The 6 components of asset management that works

1. Central asset register

One source of truth: every asset, its serial number, its category, its purchase date, its purchase cost, its depreciation schedule, its current status (in stock / assigned / under repair / written off), its current assignee.

2. Allocation workflow

When an employee is issued an asset, the allocation is recorded — asset, recipient, date, condition at issue, signed acknowledgement. The asset register updates. The employee's asset list updates.

3. Transfer workflow

If an asset moves between employees (e.g., a laptop transferred from one role to another), the transfer is recorded with both signatures. Allocation history retained.

4. Repair / loss / damage workflow

Reporting damage, requesting repair, writing off lost items — each is a structured workflow with approval. No "we'll just buy another one and forget the old one."

5. Exit recovery workflow

This is the key one. When an employee is in exit clearance, the system auto-generates a checklist of every asset assigned to them. Each must be returned (and noted), retained-with-payment-deducted (if policy allows), or formally written off. Exit is not complete until each asset is dispositioned.

6. Periodic audit

Quarterly or semi-annually, physical asset audit cross-referenced with the register. Discrepancies investigated. Standardises asset hygiene.
